Whom Shall We Catch at OKC Summer 2025?

Dear OKC Families,

Happy March! We – meaning the counselors, instructors, board, and I – cannot wait for Summer 2025! 

This document looks daunting, but please give it a once-over before you fret. The most important information is bulleted on the top, explanations with links follow, a list of general information you’ll be asked to provide comes next, and forms referenced – with links – is the grand finale. 

Having looked at this email on a phone, I recommend using your computer instead. Some things didn’t translate well to the phone’s interface. 

Flyers related to packing, lunching, adventuring, and all-around OKC-ing will be posted to the website this spring. 

Thank you for the care that you take to ensure your campers are registered and prepared for the fun by the time OKC 2025 rolls around. They’ll put their mettle to the pedal before we know it!

Most Important Information:

  • Registration opens 8:30 a.m. on Saturday, March 8 on the OKC Website.
  • All families complete two forms (1. Online Registration and 2. Camper Information Form and Waiver). These forms are unavailable until 8:30 a.m. on Saturday, March 8. 
  • Families seeking financial assistance should complete the Tuition Scholarship Application before registering.
  • All complicated supplemental forms are found in this email and in the Camper Information Form and Waiver. These forms apply to campers who:
    • Live outside the US
    • Have a vaccination waiver
    • Bring emergency inhalers or EpiPens to camp
    • Bring non-emergency medication to camp

If your camper lives in the United States, does not have a vaccination waiver, and will not bring emergency or non-emergency medications to camp, you will complete only the 1. Online Registration and 2. Camper Information Form and Waiver (and submit payment). You will NOT need to complete any other medical forms!

Explanations with Links: 

For most families, completing the two forms (1. Online Registration and  2. Camper Information Form and Waiver) and submitting payment will take care of their entire registration. The Online Registration will prompt you to pay, but you won’t do so in a GoogleForm. To register your camper, visit Oxford Kids Camp, hover over Registration Information, and click on Registration Application 2025! Once you’ve clicked, you’ll have begun the process. 

If your family requests financial aid, you should complete the Tuition Scholarship Application as soon as possible, and certainly do so before Registration. That document is available now. 

If your camper lives outside the U.S., you’ll complete the Immunization Form – focusing on the TOP portion. 

If your camper has vaccination exemptions for medical or religious grounds, you’ll complete the Immunization Form – in its ENTIRETY

If your camper brings an emergency EpiPen or Inhaler to camp, you’ll complete the appropriate Emergency Self-carry Form(s):

ASTHMA uses Asthma Action Plan and Medication Administration Authorization Form

ANAPHYLAXIS/ALLERGY uses Allergy and Anaphylaxis Medication Administration Authorization Form

*** Information applying to either/both ASTHMA and ANAPHYLAXIS/ALLERGY forms: If your camper has a version of this form that was submitted to a school/daycare/program and will still be current through the end of camp (July 25, 2025), then submit a copy of that form. You only need to have a physician complete a new form if you cannot locate a current completed form. 

If your camper will be bringing non-emergency medication (e.g. medications for ADHD, anxiety, persistent conditions), you’ll complete the Medication Administration Authorization Form.

NOTES for completing the Medication Administration Authorization Form:

Check yes for “OK to Self-Administer” 

Check not emergency med for “OK to Self-Carry (Emergency Meds Only)”

Leave Section III blank  

Other than the Tuition Scholarship Application form, which is due as soon as possible, forms referenced in this email are due by May 1, 2025 via email (oxfordkidscamp@gmail.com), post (Oxford Kids Camp; P.O. Box 294; Oxford, MD 21654) or hand delivery (300 S. Morris Street; Oxford). 

When emailing the forms, write the camper’s first and last name and type of form(s) attached on the email’s subject line. For example: 

Hedy LaRue – Immunization Form

Pepe LaPew – Asthma Form 

Bob Fontainebleau – Allergy and Anaphylaxis Form and Medication Administration Authorization Form

Katie Kazoo – Immunization Form, Asthma Form, Allergy and Anaphylaxis Form, Medication Administration Authorization Form. (Poor Katie! Good family for getting all the paperwork together, organizing it, and sending it in one email!) 

 

List of General Information:

Information you’ll be asked to provide – so have it at the ready! – on the Camper Information Form & Waiver (which is to be completed by the parent or guardian):

Camper name, age, birthdate, grade entering in fall 2025

Parent/guardian name, address, email, phone number

Summer guardian name, address, email, phone number – if applicable

Family physician name, phone number, address

Camper health: factors that might limit activities, dietary allergies, non-dietary allergies, psychological/behavioral/emotional concerns, immunization (if outside the US), immunization exemptions (for medical or religious grounds), emergency medication at camp (if carrying emergency medication for asthma or allergies), non-emergency medication at camp (if carrying non-emergency medication to camp)

Waiver information related to liability, photographs, field trips, and injuries
